  • 1. Application & Reservation Policy

    Expi Travel experiences are intentionally designed for a small, curated group to ensure a seamless, elevated travel experience for all guests.

    All travelers are required to complete:

    • A Trip Interest Application, and

    • A $200 reservation deposit

    Submission of an application and deposit does not constitute automatic confirmation. All reservations are subject to review based on availability and overall experience alignment.

    Guests will receive a confirmation or release notice within 24–72 hours of submission.

    2. Reservation Deposit Policy

    • The $200 reservation deposit secures a pending spot for the experience.

    • The deposit is applied toward the total trip balance once the reservation is confirmed.

    • Deposits are held temporarily during the confirmation review period.

    If Confirmed:

    • The $200 deposit is applied to the final trip cost.

    • Guests will receive next steps, payment schedule, and trip onboarding details.

    If Not Confirmed:

    • The $200 deposit will be refunded to the original form of payment within 5–7 business days.

    • Expi Travel reserves the right to decline participation based on capacity, logistics, or experience considerations.

    3. Payment & Balance Policy

    • Upon confirmation, guests will receive a payment schedule for the remaining trip balance.

    • Full payment must be completed by the final payment deadline outlined in the confirmation email.

    • Failure to meet payment deadlines may result in forfeiture of the reservation and any payments made.

    Payment plans (if offered) must be adhered to as agreed.

    4. Cancellation & Refund Policy

    All cancellation requests must be submitted in writing via email.

    After Confirmation:

    • Deposits are non-refundable once a guest is confirmed.

    • Refund eligibility for additional payments depends on the cancellation timeline and supplier commitments.

    Because Expi Travel secures accommodations, transportation, and experiences in advance, refunds after confirmation may be limited or unavailable.

    We strongly recommend that all guests purchase travel insurance to protect against unforeseen circumstances.

    5. Guest Eligibility & Expectations

    By joining an Expi Travel experience, guests agree to:

    • Participate respectfully in a group setting

    • Follow local laws, cultural norms, and safety guidelines

    • Treat fellow travelers, staff, and vendors with courtesy and professionalism

    Expi Travel reserves the right to remove any guest whose behavior negatively impacts the group experience, with no obligation for refund.

    6. Travel Readiness Requirements

    • Holding a valid passport (with at least 6 months validity beyond travel dates)

    • Meeting all entry requirements for Costa Rica

    • Arriving on time for scheduled activities and group transportation

    Failure to meet travel requirements does not qualify for a refund.

    7. Itinerary Changes & Flexibility

    While Expi Travel strives to deliver the itinerary as presented, we reserve the right to make adjustments due to:

    Submission of an application and deposit does not guarantee participation. All reservations are subject to confirmation by Expi Travel.

    Expi Travel reserves the right to confirm or decline participation at its discretion based on availability, logistics, and experience considerations.

    3. Reservation Deposit

    • A reservation deposit is required to hold a pending spot.

    • Deposits are applied toward the total trip balance once the reservation is confirmed.

    • If an applicant is not confirmed, the deposit will be refunded to the original payment method within the stated timeframe.

    Once a reservation is confirmed, the deposit becomes non-refundable.

    4. Payments & Pricing

    • All prices are listed in U.S. dollars unless otherwise stated.

    • Payment schedules, deadlines, and balance requirements will be communicated upon confirmation.

    • Failure to complete payments by the required deadlines may result in cancellation of the reservation without refund.

    • Expi Travel reserves the right to update pricing prior to confirmation.

    Payment plans, if offered, must be honored as agreed.

    5. Cancellations & Refunds

    All cancellation requests must be submitted in writing.

    • Deposits are non-refundable once a reservation is confirmed.

    • Refunds for payments beyond the deposit are subject to supplier policies, timing, and non-recoverable costs.

    • No refunds will be issued for missed activities, early departures, or unused services.

    We strongly recommend that all guests purchase travel insurance to protect against unforeseen events.

    6. Guest Responsibilities

    Guests are responsible for:

    • Holding a valid passport with at least six (6) months validity beyond travel dates

    • Meeting all entry, visa, and health requirements for their destination

    • Arriving on time for scheduled activities and transportation

    • Conducting themselves respectfully toward fellow travelers, staff, and vendors

    Guests must disclose any relevant medical, dietary, or accessibility needs prior to departure.

    7. Code of Conduct

    Expi Travel experiences are group-based and rely on mutual respect.

    Expi Travel reserves the right to remove any guest whose behavior:

    • Disrupts the group experience

    • Poses a safety risk

    • Violates local laws or cultural norms

    • Is disrespectful, aggressive, or inappropriate

    Removal from an experience due to conduct issues does not entitle the guest to a refund.

    8. Itinerary Changes

    • 30–59 days before departure:
      Partial refund may be issued based on vendor recoverability.

    • Less than 30 days before departure:
      No refunds will be issued.

    No refunds will be provided for:

    • Missed activities

    • Late arrivals or early departures

    4. Expi Travel-Initiated Cancellations
